4.3 Retention and Deletion of Applicant Data
Unsuccessful applicants: your personal data will be retained for six months from our final decision, then securely and permanently deleted. With your explicit consent, we may retain your details for up to 12 months to consider you for future roles. You may withdraw this consent at any time.
Successful applicants: your application data will be transferred to your personnel or contractor record and retained in accordance with our obligations as an employer or engager.
You may request deletion of your application data at any time by contacting support@digimasters.co.uk. We will action your request within 30 days and will confirm what has been deleted and whether any data must be retained due to legal obligations.
4.4 Your Rights in Relation to Automated Processing
In connection with our use of AI tools in recruitment, you have rights under UK GDPR, including the right to:
- Be informed about the use of AI in processing your application (as covered by this clause and our Privacy Policy)
- Request that your application be assessed without AI-assisted screening

5. Data Processing, Retention and Deletion
5.1 Your Data and How We Process It

- Job applicant data — unsuccessful candidates: 6 months from our final decision
- Job applicant data — successful candidates: duration of engagement plus applicable statutory period

- Financial and contractual records: 7 years (as required by HMRC and applicable law)
- Data subject access request records: 3 years
Where we are legally required to retain data beyond these periods, we will do so, but will restrict its use to compliance purposes only and will delete it once the legal obligation has been satisfied.
